Child Dynamix Community Nursery Terms and Conditions

  1. Nursery Opening Hours
    1. The nursery is open from 8.00am – 6.00pm, Monday to Friday. We also offer an ‘Early Bird’ session between 7.30am – 8.00am, at an additional cost.
    2. We are open throughout the year, except for Christmas week and statutory Bank Holidays.
    3. Additionally, to promote a quality environment, we close for up to 3 days per year for staff training purposes.
    4. Early Education Funding can only be accessed between the hours of 8.00am – 6.00pm, Monday to Friday. It also must be accessed over a minimum of 570 hours in no fewer than 38 weeks a year.
    5. The nursery requires all parents and carers to collect their children from the setting promptly when their session has finished, i.e. 1pm or 6pm. If you are late collecting your child, the team will speak with you to determine reasons behind this. If this becomes a regular occurrence, we will charge you a late fee.
  2. Payments and Funding
    1. Invoices are issued weekly and statements monthly through the nursery management system, Parenta. There is a 10% retainer fee charged for Bank Holidays, and for the December break. We make no charge for the staff training days.
    2. We can offer ‘Term Time Only’ places, which will fall in line with the local authority Early Education Funded Terms. Any additional sessions required can be booked subject to availability. Payments for Term Time Only places can be spread across the months of a financial year.
    3. Charges will be made for all booked provision throughout the year. This includes incidences of absence due to sickness, or other reason.
    4. Should your account reach its credit limit, you will be notified in writing and given 7 days to make payment. Should a sufficient payment not be made, all paid sessions will be suspended. (This does not affect any funded sessions.)
    5. If you are accessing the Working Families Entitlement Funding, it is your responsibility to renew your eligibility every 3 months via your childcare account. Should you fail to renew your code within the given timescales (dates given at each 3 month check) or if you become ineligible, you will be liable for costs. This includes any session(s) already accessed and any future sessions, until the term after you become eligible again. You may only cancel your future sessions if your cancellation falls under our terms of notice.
    6. All fees are subject to an annual review.
  3. Holidays
    1. Holiday discount entitlement is 2 weeks pro-rata and is charged at 50% of your weekly booking. Holiday entitlement is in line with a financial year (April – March).
    2. The nursery requires 2 weeks notice for holiday entitlement to be claimed.
    3. Early Education Funded and paid Term Time Only places are not eligible for holiday discount.
  4. Notice Period and Cancellation
    1. A notice period of 2 weeks (14 days) must be given for cancellation or reduction of booked places.
    2. If this notice period is not given, you will be charged for 2 weeks’ worth of sessions. This includes those using Early Education Funded Places.
    3. In cases where there has been no attendance and no contact for 2 weeks or more, the booked place will be cancelled, the local authority notified, and charges made to yourself accordingly.
    4. In accessing the Early Education Funding with us, you are agreeing to take up a place for your child(ren) for a minimum of one term. Should you wish to change childcare provider during the term, the funding would still remain the property of the Child Dynamix.
  5. Change of Details
    1. Parents/carers must inform the nursery of any changes to their details, or any inaccuracies if noted. This can include (but is not limited to) a change of: telephone number, address, GP/other medical practitioner, email address, parental responsibility, immunisations, and medical history.
    2. Any changes to details should be passed to a senior staff member immediately or changed in the Parenta app (where possible).
  6. Policies
    1. The nursery holds policies relating to the day-to-day running of the setting and its ethos. We ask all parents to read and become familiar with these policies, which can be found in the Service Delivery Handbook.
  7. Medication
    1. Medication, (including creams and lotions), will not be administered without consent from a person with parental responsibility. You will be asked to complete a medication form for this purpose.
    2. All medication must have child’s name, date of purchase and be in the original container with legible instructions.
    3. Prescribed medication must include the pharmacy label stating the prescriber’s instructions for administration.
    4. We are not allowed to administer Ibuprofen or Aspirin in any form to children under 12 years old, unless prescribed by a doctor.
  8. Accident & Illness
    1. All accidents are recorded and parents/carers must countersign the accident record to confirm you are aware of the accident.
    2. If your child becomes ill whilst at the nursery, parents/carers may be contacted and asked to collect their child.
    3. If your child arrives with a pre-existing injury, you will be required to complete an ‘Existing Injury Form’ for our records. Should this be raised as a concern, we would follow our Safeguarding and Child Protection procedures. Please see this individual policy for more information.
  9.  Behaviour
    1. The company operates a zero-tolerance policy. All members of the nursery including staff, parents, children, and visitors are expected to treat each other with respect. Bullying will not be tolerated. Staff will discuss with parents any behaviour issues relating to their child that need to be highlighted.
