Media Policy

Purpose

This Media Policy outlines how Child Dynamix may use photographs, video, and other media taken during our events, programs, and activities.

Ownership of Media

All photographs, video recordings, and other media content taken by staff, volunteers, or representatives of Child Dynamix are the property of the charity. These materials may be used for charitable, promotional, educational, and fundraising purposes in print, digital, or social media formats. Where you send or share media with us, the same policies apply, and though we do not retain ownership rights, you grant us permission to use any media you have supplied in perpetuity in the manners described in this policy.

Use of Media

Examples of where images and media may be used include, but are not limited to:

  • Reports, brochures, and other printed materials

  • Social media channels and websites

  • Grant applications and fundraising campaigns

  • Press releases and newsletters

You will not be entitled to any financial compensation or royalty in exchange for featuring in, or supplying us with, through your own volition, images or videos. We have the right to edit, change or copy any media as we deem necessary. 

Participant Notice

By attending a Child Dynamix event, individuals acknowledge that photographs or videos may be taken, and the media can be utilised for the purposes as outlined in this policy. Anyone who does not wish to be photographed or recorded may notify a staff member or event organiser, and we will make reasonable efforts to honour that request.

Childcare and Nurseries 

All nurseries regularly photograph the children for the purposes of marketing and promotion.  All parents or legal guardians will be given the option as to whether they consent to images and videos of their child being taken in line with this. No image or other media of any child will be featured on any social media channel, digital publication or other marketing material without express consent being granted. This applies to any child who attends the nursery, including as part of the holiday club.

Withdrawing Consent

Individuals (or parents/guardians for children) may withdraw consent for the use of their image by contacting us in writing. We will confirm receipt of the request and outline the steps we will take. Once consent is withdrawn, we will not use that image in any new materials, publications, or online content. We will keep a record of the consent withdrawal to ensure the individual’s image is not used again in future. All copies we retain of the image will be removed from any internal systems on which it exists. Unless fresh, explicit consent is provided, we will no longer create new materials featuring the individual who has withdrawn consent.

  • Printed materials: If an image has already been used in printed publications (e.g. posters, brochures, reports), we will not recall or destroy those items. However, the image will not appear in any reprints or new editions.
  • Digital materials: If an image appears on our website, social media, or other digital platforms, we will remove it as soon as reasonably possible. Please note that third-party platforms may retain cached or archived versions outside our control.
